Set Up Billing Automations
Configure billing automation rules and schedules so statements run consistently.
Steps
- Open the PayStack portal and go to Billing settings.
- Open Automation (or Automation Settings).
- Review and configure the essentials:
- When statements are sent (schedule)
- Which patients/accounts are included
- Messaging stage rules (courtesy → collections)
- Delivery methods (text/email/paper)
- Save changes.
- Send a small test batch (if available) to confirm the workflow.
What Happens Next
- Automations run on the schedule you set.
- Patients move through stages based on your rules and their responses/payments.
You’ll Know It Worked When
- The automation shows as enabled with the correct schedule.
- Statement batches run when expected.
- Delivery/status logs show activity for the correct patients.
Common Issues
- Statements didn’t send: confirm the automation is enabled and the schedule/timezone is correct.
- Wrong patients included: re-check eligibility rules (balance thresholds, stages, exclusions).
- Messages are going out in the wrong stage: review stage rules and the patient’s current stage before re-running.
