Send Billing Statements

Send statements and confirm delivery and collections behavior.

Steps

  1. Open Billing and go to Statements.
  1. Select the patient accounts (or the statement batch) you want to send.
  1. Confirm the statement details:
      • Balance amount(s)
      • Due date and messaging stage
      • Delivery method (text/email/paper)
  1. Send the statements.
  1. Monitor responses and payments as they come in.

What Happens Next

  • Patients receive the statement through the selected channel(s).
  • Payments and responses move patients through your messaging/collection stages.
  • When a payment is made, activity should sync based on your normal billing + PMS sync behavior.

You’ll Know It Worked When

  • The statement shows as sent (and the patient is in the expected stage).
  • You see delivery status (where available) and/or the patient receives the message.
  • Payments or responses show up against the correct patient/account.

Common Issues

  • Patient says they didn’t receive it: confirm the contact method on file (phone/email) and resend.
  • Wrong balance: verify the balance sync source (PMS/Sikka/etc.) and refresh before re-sending.
  • Payment posted but balance didn’t update: check sync timing and reconcile the patient ledger.
