Manage Billing Messaging Stages

Move patients through courtesy and collections stages based on payments and responses.

Steps

  1. Open Billing and go to your Messaging Stages.
  1. Review the stage sequence (for example: courtesy β†’ collections).
  1. For a patient/account, confirm the current stage.
  1. Move the patient to the next stage when needed based on:
      • Missed payments
      • Patient responses/promises
      • Partial payments
      • Resolved balances
  1. Save any stage changes and monitor the next scheduled message.

What Happens Next

  • Stage determines what message a patient receives next and when.
  • As payments or responses come in, patients may automatically advance (depending on your automation rules).

You’ll Know It Worked When

  • The patient/account shows the expected stage.
  • The next message sent matches the stage template.

Common Issues

  • Patient is in the wrong stage: verify recent payments/responses and correct the stage.
  • Messages are too aggressive/too early: adjust stage timing and automation schedules.
  • Patient paid but still getting messages: confirm the balance sync timing and re-check the patient balance before the next send.
